Licence and designation data on member records

Two fields on a member record are frequently reported as faults when they're working correctly. This article explains both.

Licence fields come from TREC, not from your member records

Licence Number, Licence Type, Licence Status and Licence Expiry do not come from the NAR member record. They come from the Texas Real Estate Commission's public licence data, matched to each member on their licence number.

That matching is not perfect, and it isn't meant to be.

A blank licence field is usually correct

Roughly 1 in 20 members legitimately doesn't match a TREC record. Common reasons:

  • The member holds no Texas licence — for example, affiliate members
  • The licence number in the member record is missing or has a typo
  • The licence is held under a different name or entity

A blank licence field is normal. It is not evidence that the sync has failed.

If a licence field is wrong

You can't edit these fields in the CMS — they're read-only and rebuilt from TREC data on each update.

  • Wrong licence number on the member record — correct it in the source member system. The TREC match will pick it up on the next run.
  • Correct licence number but no TREC data — check the licence on TREC's public register. If it's there and still not showing after a sync, report it.
  • A member holds more than one licence — the CMS shows one. An active licence is preferred over an inactive one.

Designations

Designations come from the NAR member record and are read-only.

Only about 1 in 9 members holds any designation at all. An empty Designations field is the normal case, not a missing-data problem.

If a member believes their designation is missing, it needs to be corrected in their NAR record — the CMS only displays what NAR sends.
